Design a mobile training report application for ShiNail

Overview

ShiNail is a beauty group offering indulge and relax in a luxurious space to transform client's inner beauty from fingertips to toenails. The leadership team of ShiNail aim to operate the salons with a corportae management model, from the SOP, training, hiring, inventory, merchandise to each client's profile data.


While the team is growing, the training report system is one of the projects which needed to be improved at the current stage. The team now is using WeChat (chatting application like Whatsapp) as a channel to communicate with the training status.

*This application is a customized design for ShiNail Beauty Group's internal use.

Problem 1

Difficulty accessing training details

After reading the message, each team member has to reply "OK" in the group chat.

1. Difficult for the team leader to follow up if all members have got the message

2. Using the search feature would not be able to look up the reports easily (only a portion of the message will be showed

Problem 2

Trainers report in different format

Each trainers will send a message to the group chat to report trainee's daily report.

1. There is no template with different formats, which is hard to read the report when there are multiple trainees at a time

2. If the trainers would like to attach the trainee's nail finishing photos, the group chat will be very messy (the team is now using a seperate group to record the photos)

Hard to measure and generate reports

Team support member will have to manually generate the message into company's database system.

1.  Leadership team would not be able to access the report immediately as the database only updated once a month

2. If trainers want to review the report, the search feature is difficult to use as everyone's use of lanague is slightly different

01. Empathize: Why make a chance?
Before we get started, we need to understand WHAT, WHY & HOW to manage this training system in a more simple and intuitive way.
Research Goals
To design a training reporting system from scratch, we need to understand the existing user's pain points.

ShiNail has its own customer data base system with report and data, from which we can also learn some of the user's behaviors. Base on a few conversation with the owner and target users, here are the following Research Goals for this project:

Research Findings
For Concept Testing and conducting a Persona with the target user, we aim to understand the user preference, need, pain point and motivation:

* How do the user submit a daily performance?

* What format do you report to the team?

* What details do you include in the daily report?

* What department will use this training report system?

* How do you collect data and generate report?




Competitive analysis can help us learn the ins and outs of how other competition works. Not only evaulate the existing training report process, but also get to know what's the trend in the market.

We have done some research of other competitors, where we can find mostly the LMS platforms but we still learn some of the similar features from them, such as media import, chatroom, reminders, submission notification, etc

After a few rounds of concept testing with the target users, the research outcome reveals the following findings.

Key Takeaways:

- Individual log in to track if the trainer has review the reports

- Less manual data entry in order to previous from human errors

- Access data and report anytime anywhere

02. Define: What is the flow?
Task/User Flow
By reviewing the current daily training report flow, we can easily point out the opportunity for improvement. The updated flow will benefit to users, leadership team, and the business decision-making.

User:

Saving time on looking up report template and searching keywords in chat history.

Leadership:

Be able to access to report faster and eaiser to improve training process.

Business:

Prepare data for the business deicision making
